Process for validating grant-funded employee hours moved to Workday

The change applies to all employees whose work is fully or partially grant-funded.

As part of an ongoing effort to streamline performance-management practices, the process for validating federally funded grant employee’s hours has been simplified. 

Metropolitan State University of Denver has moved the effort-certification process to Workday. This will allow for some tasks (which were previously manual) to be consolidated with other similar processes and updated automatically.

What is effort certification? 

Effort certification is a federally mandated process for tracking and reporting hours completed by grant-funded employees. 

Who will be impacted 

The new hour-validation process will apply to any employee, including student employees, whose work is fully or partially funded by a grant.  

Employees who are funded by federal grants should have received their first notification to validate their hours in Workday when the new process went live on Dec. 13. A second notice was sent out Tuesday, Jan. 16 for August pay periods.  

Specific changes and new processes 

Employees will need to complete a “task” in Workday for each pay period to confirm or change their hours worked against the grant(s). Instructional documents to walk employees and managers through the new process have been prepared and are available on the Workday Transformation Team

  • This task must be completed regularly going forward, depending on the employee’s pay cycle (bi-weekly for student employees, monthly for all others).  
  • Once the employee has completed the task, managers and members of the Grants (SPAC) and Payroll teams will review hours.
